Short answer

Decide whether you need information, action, a formal decision, complaint handling or review. Name the procedure in the subject and ask for a case number.

Practical steps

Choose the right procedure

Use an information request for explanation, a request for action, a complaint about conduct, an objection against a decision and Woo for public documents.

Structure your letter

Include name, address, date, subject and case number. Add a concise timeline, position, request, response deadline and attachments.

Send and follow up

Use official email, web form, MijnOverheid or registered post. Keep the PDF and confirmation. Request an agenda and written minutes for meetings.

Questions about municipalities

Can I write in Ukrainian?

You may request an interpreter, but a Dutch version will usually speed up accurate handling.

What if I only receive an oral answer?

Confirm it by email and ask the municipality to correct or confirm your summary.

Is a complaint automatically an objection?

No. State objection explicitly and protect the deadline.
